How to use the app · Updated October 2026

Open the app Call (888) 833-9274

1. Getting started

Laundromeda runs in any web browser on a phone, tablet or computer. Open laundrymanagementapp.netlify.app and sign in with your email and password.

First time

  1. Tap Create account, enter your email and a password, and tick I agree to the Terms of Service.
  2. Owner: create your laundry — name, time zone, and how you take laundry in (by pounds, by pieces, or both). Pick the features you need; the monthly price updates as you choose. The first 3 months are free.
  3. Employees: create an account with your own email, then ask the owner or manager to add you.

Put it on your phone's home screen (opens like an app)

The screen

Who can do what

Role Can use
Staff Check In, Check Out, Counter, Orders, Route, Scan, own time clock
Manager Everything staff can, plus Reports, Money, Team, Customers, Setup
Owner Everything, plus the plan, billing and adding people

To sign out or switch to another laundry, scroll to the bottom of any screen and tap Sign out · <laundry name>.

2. Check In — receiving soiled laundry

Every cart or item is saved the moment you tap CHECK IN, so nothing is lost if the tablet dies.

By weight

  1. Pick the customer at the top. Date and time fill in automatically.
  2. Enter Total weight (cart + laundry) and the Cart #. A cart the app has seen before fills in its Tare (empty weight) by itself; a new cart asks for its tare once.
  3. Check the green NETTO number (total − tare), then tap CHECK IN.
  4. Repeat for every cart. The list on the right (or below on a phone) shows each cart and the running total, e.g. "3 carts · 505 lb".
  5. When the whole delivery is in, tap END OF DELIVERY. Until you do, every new cart for that customer joins the same delivery — even after midnight.

By piece (coats, pants, comforters…)

  1. Switch the toggle to By piece (shown when your laundry takes both).
  2. Type the Item or tap a quick-pick chip (Coat, Jacket, Pants, Comforter…).
  3. Enter Qty (default 1) and an optional comment, then tap CHECK IN. The list shows "Coat — 2 pcs".

Mistakes: delete a wrong line from the list before the delivery is closed. A manager can reopen a closed delivery.

3. Check Out — sending clean laundry

Each check-out line goes on the customer's open slip (delivery receipt). The slip stays open until you print it.

  1. Pick the customer, the Type (Sheets, Towels… from that customer's price list) and the Driver.
  2. Enter the clean weight (total and cart, as in Check In).
  3. Optional: under Type, pick an accessory or per-piece item (bags, hangers, blankets…) and its qty.
  4. Tap CHECK OUT · $xx.xx — one button adds the weight line and the accessory together. The button shows the line total before you tap.
  5. Repeat for every cart, then tap PRINT RECEIPT. This closes the slip and opens the print window.

Good to know

4. Counter — walk-in customers

Use Counter for drop-off customers who pay at the counter (wash & fold, dry cleaning, comforters).

  1. Find customer: type a name or phone. A returning customer appears in the list — tap it. A new customer: type the Name and Phone (for text updates); email is optional.
  2. Choose Customer drops off or We pick up & deliver.
  3. Tap the service buttons (e.g. + Wash & fold $1.75/lb) and enter pounds or quantity. + Other item adds anything not on the price list.
  4. Optional: Promo code and Notes (starch, hang dry, gate code…). The total shows the discount and tax.
  5. Tap NEXT — PAYMENT.
  6. Choose Cash, Card, Check or Other. For cash, type Cash given to see the change.
  7. Bags: how many QR tags to print for this ticket.
  8. Tap PAID — PRINT RECEIPT, or Pay at pickup — print ticket if the customer pays later.

Card payments: run the card on your own card terminal, then tap Paid. The app records the payment; it does not charge the card.

Today at the counter (bottom of the screen) shows today's sales, cash in the drawer and card/check totals — use it to close the drawer at night.

5. Orders, QR tags and Scan

Orders lists every counter, phone and online order. Filter with the chips: Active, Pickups, Ready, Unpaid, Done. Tap an order to open it.

Moving an order along: the big yellow button always shows the next step — Start washing → Mark ready → Out for delivery / Picked up → Done. Each step is saved in the order's History with the time and who did it. When text messages are on, the customer gets a text at the main steps.

In an open order you can also Edit items, Print ticket, Take payment, Copy tracking link, Text customer again or Cancel order.

QR tags

Scan

  1. Tap Scan with camera and point the phone at the tag, or type the code, or use a scanner gun.
  2. The tag shows its customer, order and current step.
  3. Tap the step it is at now: Received, Washing, Drying, Folding, Ready, Out, Delivered.

Many bags fast: set Each scan sets the step to, for example, Ready, then scan bag after bag — each one is marked Ready without extra taps.

6. Route — for drivers

Plan the day (manager or driver)

  1. Open Route, pick the Day and type the Driver name.
  2. Tap Add today's orders — every pickup and delivery due that day becomes a stop. Add any other stop at the bottom under Add a stop (customer or name, address, note such as a gate code).
  3. Put the stops in driving order with ▲ ▼, or tap Open route in Maps and let Google Maps order up to 10 stops.

On the road (driver)

7. Online orders, customer page and texts

Your order link — in Setup → Online orders you find your laundry's own link. Copy link to put it on your website, Google profile or Facebook, or Print QR poster for the counter and the door.

What the customer does: enters name and mobile phone, chooses Pick up from me or I'll drop it off, the address, day and time window, the service, notes and an optional promo code, and taps Request pickup. No account or password is needed.

What you see: the request appears in Orders under Pickups with the status Pickup requested. Add it to the driver's route with Add today's orders.

Tracking page — after ordering, the customer sees a live page: Pickup requested → Received → In process → Ready → Out for delivery → Delivered, with times, items and the amount due. Every text includes this link.

Customer page — each customer has a personal page with their orders, slips and invoices and a button to order again. Open the customer in Customers and tap Copy customer page link to send it.

Texts and emails — in Setup → Customer texts & emails:

Customers can reply STOP to stop texts. Only text customers who agreed to receive them.

8. Reports, invoices and QuickBooks

Pick the period at the top with From / To, or a quick button (Today, Yesterday, Last 7 days, This month). Cut-off time: if late deliveries after, say, 6:00 PM belong to the next day, set the times next to the dates.

Report What it shows
All out Every check-out line: customer, type, pounds, amount, driver. Totals at the bottom.
Invoicing Issue, send and export invoices (below).
All in Every check-in: carts and pounds, and items by piece.
Carts Every cart with its tare and where it was last sent.

Every report has Print report. Correction on a line fixes a weight or price after the slip was printed.

Invoices (Reports → Invoicing)

  1. Issue invoices: tick the customers (or Select all) and tap Issue invoices (n). Each customer gets one numbered invoice for all their slips in the period.
  2. Send invoices: the new invoices are already ticked. Check the Sends to email, then send. Each invoice goes as a PDF, with its slips, from your own Gmail. The list shows Not sent / sent for every invoice.
  3. Need to fix one? View, Correction, Change # (invoice number) or Cancel the invoice and issue it again.

QuickBooks Online

9. Team — time clock, hours and labor

Clocking in and out (employees)

Sales vs labor: for each shift you see pounds and sales against labor hours and cost, labor % of sales, and pounds per labor hour. Only floor workers count; managers and drivers are left out.

10. Customers, Money, Setup and your plan

11. Daily checklist and help

Every day

  1. Staff clock in on the tablet.
  2. Check In every delivery cart by cart; tap END OF DELIVERY when the truck is empty.
  3. Check Out clean laundry; PRINT RECEIPT for each customer's slip before it leaves.
  4. Counter: ticket and payment for every walk-in; move orders to Ready when done.
  5. Drivers: work the Route, get a signature at every stop.
  6. Night: check Today at the counter against the cash drawer; staff clock out.

Every pay period / month: print the hours report for payroll, issue and send invoices, export to QuickBooks, add the month's expenses.

Problem What to do
Text is too small or too big Tap A− / A+ at the top.
